Project Management Assistant

AIDT in Montgomery is seeking applicants for a full-time Project Management Assistant.

$50,464 – $66,824

SYNOPSIS

Provides Project Management administrative assistance by supporting the Project Management Division in administrative duties and tasks through Project Management Systems, Applicant Tracking Systems, and Learning Management Systems. Work is performed with independence and considerable decision-making authority. Remote work is not available for this position. This position will be based out of Montgomery.

 

Duties and Responsibilities

  • Assists the Assistant Director of Central Alabama with the following:
    • Operations of AIDT project training services.
    • Monitoring and approving expenditures for equipment, materials, and resources to ensure expenditures meet organizational guidelines and objectives.
    • Managing AIDT resources within assigned area(s) of responsibility.
    • Managing activities between assigned divisions and other divisions and facilities of AIDT.
    • Researching, developing, and writing recommendations for internal systems.
  • Assists the Assistant Director of Central Alabama and the Training Manager with creating and distributing pre-LOCs to appropriate staff based on data received.
  • Provides administrative assistance to project management staff including but not limited to typing, editing, processing, proofreading, copying, categorizing, and filing of letters, memos, forms, reports, notes, and other internal and external documentation and communications.
  • Schedules interviews and classes for Project Managers.
  • Processes correspondence to client companies.
  • Processes requests to obtain supplies, resources, and services for the staff.
  • Distributes written and other communications to appropriate staff.
  • Requests quotes and other required paperwork from vendors and follow SOP for requisition/purchase order submission and ordering for Project Management.
  • Tracks and imports data into Applicant Tracking System, Project Management System, and Learning Management System.
  • Processes Post-employment and On-The-Job Training invoices.
  • Reviews encumbrance reports and other financial reports to ensure funds are available for the Finance Department to process payments on behalf of the Project Management Division.

 

Database Administration:

  • Enters, edits, and maintains project management data in the database, including all pertinent company, trainee, and class data.
  • Processes correspondence to applicants, potential trainees, and trainees.
  • Compiles statistics, gathers information, and prepares reports.
  • Provides input to AIDT’s research analyst as needed.

 

Special Projects:

  • Accepts and manages the development and implementation of special projects and other work-related duties and responsibilities as assigned.

 

Work Habits:

  • Complies with all policies and procedures as set out in the AIDT Policy Manual.
  • Plans daily/weekly work schedule.
  • Maintains housekeeping to organizational standards.
  • Interacts professionally with co-workers, general public and others as required.
  • Complies with AIDT policy regarding attendance (regular and predictable attendance is an essential function of the job)
  • Follows and complies with AIDT work order system regarding deadlines and quality of work.

 

Required Knowledge, Skills and Abilities:

  1. Accustomed to working in a high paced administrative office environment.
  2. Must be a good communicator and have a great attitude.
  3. Efficient IT and Computer skills required. Must be able to type approximately 60 words per minute.
  4. Skilled in reading, writing, spelling, punctuating, and editing of documents.
  5. Ability to understand and follow standard operating procedures (SOP) under an ISO 9001 quality system.
  6. Must be able to understand, comprehend, and work with Applicant Tracking Systems, Project Management Systems, and Learning Management Systems.
  7. Must be able to communicate clearly, verbally and in writing.
  8. Ability to work independently.
  9. Ability to interact professionally with company representatives, public officials, trainees, coworkers, and the general public.
  10. Will be expected to meet deadlines and handle multiple administrative functions concurrently.
  11. Must be able to follow established laws, policies and procedures.
  12. Attention to detail required.
  13. Ability to function in a team-based environment.

 

Required Minimum Qualifications:

Minimum high school diploma or GED certificate and a minimum of three years office/administrative work experience required.

 

Preferred Qualifications:

Associate degree or bachelor’s degree from a dually accredited institution preferred.

 

Salary and General:

Initial placement will be based on experience and education applicable to the E2 salary schedule, within a range of $50,464 – $66,824. Paid monthly. Excellent benefits package included.

 

Criminal Background Check:

The applicant chosen for employment will be required to sign a Criminal Background Check consent form and to submit a nonrefundable $26.17 payment for the cost of the criminal background check. (Note: $26.17 fee is based on possession of an Alabama Driver’s License. The fee for the background check may be more or less if the driver’s license is not an Alabama license.) Permanent employment will be contingent upon the results of the criminal background check.
